Lock cards as an additional layer of security:
- If there is any suspected fraudulent activity.
- Lock a card in advance to get a reminder about an auto-renewal of a recurring expense.
When the card is Locked charges will not be processed. Pending charges will be processed even when the card is Locked.
Only an Active card can be Locked.
There are three Lock Statuses:
Locked | The card is Locked immediately. This is commonly used when there is suspicion of fraudulent activities on the card. |
Pending | The card is set to lock at a future date. If the card is issued for a marketing event trip, the Admin can lock the card automatically after the event ends. |
Unlocked |
This the default status of a card. The status of a locked or pending card can be changed to this status. |
Lock Immediately.
To lock the card immediately:
- Find the card on the Virtual Cards page.
- Click on Edit Card Information.
- Set the Lock Status to Locked.
- Click Save.
This will Lock the card immediately and all further charges will be declined. However, pending charges will not be affected.
The card will stay locked until the Card Owner or the Admin unlocks the card. The card can be used if unlocked before the expiry date.
Pending Lock.
Set a card to Lock automatically on a future date using the Pending Lock option.
This helps to avoid auto-renewal charges.
Say you have a one year contract with your Vendor. You want to revisit the contract before the subscription automatically renews after a year. In this case, set the Lock Status of the card to Pending and set the Lock Date to a few days before the renewal date. You will receive an email notification before the card gets locked.
To set the card as Pending Lock:
- Find the card on the Virtual Cards page.
- Click on Edit Card Information.
- Set the Lock Status to Pending and enter a Lock Date.
- Click Save.
Airbase system timezone is in UTC
The card can be automatically locked due to the following reasons:
- Violation of the Receipt Compliance policy.
- Airbase detects a transaction with a high fraud score.
- The card was not used for more than 60 days.
Manage card spend controls User Permission is needed to:
- Change the Lock Status from Pending.
- Lock the Virtual Card owned by another User.
